Terms and Conditions of Use

1. Introduction

Welcome to CertIndex, an online directory for ISO-certified IT service providers and IT vendors in Australia and New Zealand.

These Terms & Conditions (“Terms”) govern your use of the CertIndex website, including the pre-registration process and the live platform.

By submitting the pre-registration form, creating a Listing, or using the CertIndex platform, you agree to be bound by these Terms. If you do not agree, please do not use the platform.

2. Definitions

For the purposes of these Terms:

  • Accreditation Body – An organisation recognised by the International Accreditation Forum (IAF) that accredits certification bodies to issue ISO certificates.

  • Certification Body – An organisation that audits and issues ISO certificates to Organisations.

  • Certification Information – Details relating to an Organisation’s ISO certification, including certification number, issue date, expiry date, accreditation body, certification body, and certification scope.

  • CertIndex – The website, services, and associated tools operated by Consulting 365 Pty Ltd (ABN 27 665 028 544), trading as CertIndex.

  • IAF – International Accreditation Forum, the global association of accreditation bodies and other organisations involved in conformity assessment.

  • JASANZ – Joint Accreditation System of Australia and New Zealand, the government-appointed accreditation body for Australia and New Zealand.

  • Listing – The Organisation Profile created and published on CertIndex.

  • Organisation – Any entity submitting details for listing, including companies, partnerships, sole traders, government bodies, and not-for-profit organisations.

  • Organisation Profile – The self-managed listing on CertIndex containing Organisation details, Certification Information, and other content, data fields, or materials requested or permitted by CertIndex.

  • Relying User – Any individual or entity accessing CertIndex to view Listings and/or Certification Information for informational purposes.

  • Service Location Information – The list of geographic locations an Organisation services, as shown in CertIndex search results and its Organisation Profile.

  • User-Uploaded Content – Any documents, images, text, or files uploaded to CertIndex by an Organisation for inclusion in its Organisation Profile.

  • You – The person completing the pre-registration form or using the site on behalf of an Organisation.

3. Privacy

Your submission of information is subject to the CertIndex Privacy Policy, which forms part of these Terms.

4. Additional Terms & Platform Changes

  • CertIndex may offer additional services, features, or tools - such as premium search functions, API access, or industry reporting - subject to separate terms and conditions, which will form part of these Terms when applicable.

  • CertIndex may update, add, or remove platform features, Listing fields, or categories of information (including new certificate types, attestations, or service details) at any time without notice. Continued use of the platform constitutes acceptance of such changes.

5. Pre-Registration Terms

5.1 Eligibility

You must:

  • Be authorised to act on behalf of the Organisation.

  • Be at least 18 years of age.

  • Provide accurate, current, and complete information.

  • Ensure the Organisation holds recognised ISO certification that can be verified via JASANZ or another IAF-recognised accreditation body.

5.2 Information Accuracy & Verification

  • You are responsible for ensuring all submitted information is correct.

  • CertIndex verifies certification status based on the details and expiry dates shown on the certificates provided at the time of listing.

  • CertIndex may send reminders before a listed certification expires, but providing updated certificates is the Organisation’s sole responsibility.

  • Organisations that fail to provide updated certificates by their expiry date may be deregistered.

  • Providing false or misleading information may result in refusal or removal of a Listing.

5.3 Responsibility for Data Provided

  • You are solely responsible for the accuracy, legality, completeness, and confidentiality of information you submit.

  • Do not provide any information you consider confidential or commercially sensitive, as Listing content is public once published.

5.4 Process & Approval

  • Pre-registration is an expression of interest only and does not guarantee listing.

  • Listings are subject to verification, compliance checks, and editorial approval.

5.5 Visibility

Information provided during pre-registration will not be displayed publicly until the platform launches and your Listing is approved.

5.6 Termination of Pre-Registration

CertIndex may reject or cancel any pre-registration at its discretion, including for incomplete, inaccurate, or non-compliant information, or known or suspected unlawful or unethical activity. CertIndex is not required to provide reasons for refusal or removal.

5.7 Transition to Live Terms

These Terms govern both pre-registration and the live platform. Continued use after launch constitutes acceptance of the Terms as updated.

6. Certification & Jurisdiction Display

  • CertIndex primarily verifies ISO certification status against JASANZ records.

  • Organisations certified under other IAF-recognised accreditation bodies outside Australia and New Zealand may also be listed.

  • CertIndex may display the jurisdiction of certification (e.g., via country flag or visual indicator).

  • Such indicators are informational only and do not imply endorsement or equivalence.

  • CertIndex may treat non-JASANZ certifications differently, including refusing or modifying listings.

7. Verification Services

Certification verification is performed by ISO365, a trading division of Consulting 365 Pty Ltd, using objective criteria including checks against JASANZ and IAF registers.

8. Nature of CertIndex

CertIndex is a privately operated online directory, not a public register. No Organisation has a right to be listed. Listings are editorial content curated at CertIndex’s discretion.

9. Certification Status Indicators

  • CertIndex may display certification status indicators (e.g., colour-coded “Active”, “At Risk”, “Cancelled/Inactive”) based on available verification data.

  • Indicators are for informational purposes only and do not guarantee ongoing certification.

  • CertIndex is not responsible for any perceived reputational impact from these indicators.

10. Platform Use Restrictions

You must not:

  • Use CertIndex for unlawful purposes.

  • Interfere with the site’s operation or security.

  • Post defamatory, obscene, or misleading information.

  • Attempt to bypass security measures.

  • Scrape, bulk-download, or harvest data from CertIndex.

11. Intellectual Property & Use of Marks

  • CertIndex owns all rights to the website content, design, and branding.

  • The Organisation warrants it has all rights to its name, logos, and trade marks provided to CertIndex.

  • The Organisation grants CertIndex a non-exclusive, royalty-free licence to use its marks for Listings, search results, marketing, and “Listed on CertIndex” badges.

12. Badge Use

Any “Listed on CertIndex” badge must be used in accordance with guidelines and must not be represented as an endorsement by CertIndex.

13. Notice & Takedown

If you believe any content infringes intellectual property rights or is defamatory, email support@certindex.com.au with sufficient detail. CertIndex may remove or restrict access and may forward notices to the Organisation.

14. Organisation Profile & Uploaded Content

  • Organisations are solely responsible for the accuracy and currency of their profile.

  • Any files uploaded are the Organisation’s responsibility and may be publicly downloadable.

  • CertIndex may aggregate and anonymise data for research and industry reporting.

15. Certification Representations

Organisations warrant certification information provided is genuine. If authenticity cannot be verified via JASANZ, IAF, or another recognised body, CertIndex may refuse, suspend, or remove the Listing.

16. Data Requests & Deletion

Organisations may request removal of their Listing or deletion of data by contacting support@certindex.com.au.

CertIndex may retain:

  • Legally required data;

  • Publicly available information;

  • Anonymised datasets;

  • Basic identifying details to record the existence of a past Listing.

17. Disclaimers & Liability

  • CertIndex provides Listings “as is” without guarantees of accuracy or completeness.

  • CertIndex is not liable for loss or damage from use of the platform, reliance on content, or certification status beyond initial verification.

18. Indemnity

The Organisation indemnifies CertIndex and its officers, employees, and contractors against any claim, loss, or liability arising from its Listing, content, or breach of these Terms.

19. Service Availability & Closure

  • CertIndex makes no service level guarantees for review or publication timeframes.

  • CertIndex may suspend or close the platform at any time for any reason, including commercial viability.

  • Availability may be interrupted for maintenance, upgrades, or outages.

20. Force Majeure

CertIndex is not liable for failure or delay due to causes beyond its control.

21. Assignment

CertIndex may assign its rights or obligations without consent. Organisations may not assign without CertIndex’s written consent.

22. Survival

Clauses relating to Intellectual Property, Badge Use, Data Use, Indemnity, and Limitation of Liability survive termination or closure.

23. Interpretation & Severability

Headings are for convenience only. “Including” means “including without limitation”. If any provision is found unenforceable, the remainder remains in force.

24. Changes to Terms

We may update these Terms at any time. The updated date will appear at the top of this page.

25. Governing Law & Jurisdiction

These Terms are governed by the laws of Victoria, Australia. CertIndex is intended for use in Australia and New Zealand.
